Task Management

Task Management is available on all tiers, including the Free plan. It provides a straightforward way to create, assign, track, and manage tasks across your organisation with priorities, due dates, progress tracking, checklists, and file attachments.

Creating Tasks

Any user can create a task and assign it to themselves or to a colleague. Tasks capture all the information needed to track work from start to completion.

Task Fields

  • Title — a clear, concise description of what needs to be done.
  • Assignee — the user responsible for completing the task.
  • Due date — the deadline by which the task should be completed.
  • Start date — when work on the task is expected to begin.
  • Priority — categorise urgency: Low, Medium, High, or Urgent.
  • Category — group tasks by category for filtering (e.g., IT, Admin, Operations).
  • Tags — add custom tags for additional organisation and searchability.
  • Description — detailed instructions, context, or requirements for the task.
  1. Navigate to Tasks and click "New Task".
  2. Enter the title, select the assignee, and set the priority.
  3. Set the start date and due date.
  4. Optionally add a category, tags, and a detailed description.
  5. Click "Create" to save the task.

Status Tracking

Every task moves through three statuses that reflect its current stage. Status changes are logged with timestamps for accountability.

  • TODO — the task has been created but work has not yet started.
  • IN_PROGRESS — the assignee has begun working on the task.
  • COMPLETED — the task has been finished.

Assignees can update their task status from the task detail view or directly from the task list using quick actions.

Progress Tracking

In addition to status, each task has a progress indicator that ranges from 0% to 100%. This gives a more granular view of how far along a task is, which is especially useful for larger or multi-step tasks.

  • Progress is set manually by the assignee as they work through the task.
  • When a task is marked as COMPLETED, progress is automatically set to 100%.
  • Progress is visible in the task list and detail views.
  • Managers can filter by progress range to find tasks that are stalling.

Attachments

Files can be uploaded and attached to any task to provide supporting documentation, reference materials, or deliverables.

  • Upload files of any type (documents, images, spreadsheets, PDFs, etc.).
  • Multiple files can be attached to a single task.
  • Attachments can be added at creation time or later as work progresses.
  • All team members with access to the task can view and download attachments.
  • File sizes are subject to the organisation's storage limits based on plan tier.

Checklists

Checklists allow you to break a task down into smaller sub-tasks or steps. Each checklist item can be individually checked off as it is completed.

  • Add one or more checklist items to any task.
  • Check items off as they are completed — this updates the task's overall progress.
  • Reorder checklist items by dragging.
  • Add new items or remove items at any time.
  • Checklist completion percentage is shown alongside the task progress.

Categories & Tags

Categories and tags help you organise and filter your task list as it grows.

  • Categories — broad groupings defined by the organisation (e.g., IT, Admin, Operations, Marketing). Each task belongs to one category.
  • Tags — flexible labels that can be applied freely (e.g., "Q1 Goals", "Client A", "Sprint 12"). A task can have multiple tags.
  • Filter the task list by category, tag, or both to find what you need quickly.

CSV Export

Export your tasks to CSV for reporting, analysis, or sharing with stakeholders who do not have a Deskpadi account. The export includes task title, assignee, status, priority, progress, start date, due date, category, and tags.

  • Export all tasks or apply filters first to export a subset.
  • The CSV file can be opened in Excel, Google Sheets, or any spreadsheet application.
  • Exported data reflects the current state of tasks at the time of export.

Bulk Status Update

When you need to update multiple tasks at once, the bulk status update feature saves time.

  1. Select multiple tasks using the checkboxes in the task list.
  2. Click the "Bulk Actions" button.
  3. Choose the new status (TODO, IN_PROGRESS, or COMPLETED).
  4. Confirm the update. All selected tasks are updated simultaneously.

Overdue Sweep Notifications

A daily automated sweep checks for tasks that have passed their due date without being completed. Notifications are sent to keep work on track.

  • The assignee receives a daily reminder for each overdue task.
  • The assignee's manager is notified of overdue tasks within their managed departments.
  • Overdue tasks are highlighted in the task list with a visual indicator.
  • The sweep runs daily and continues sending reminders until the task is completed or the due date is updated.

Manager View

Managers have an expanded view that shows tasks across their managed departments. This provides oversight without requiring individual check-ins.

  • See all tasks assigned to team members in your managed departments.
  • Filter by assignee, status, priority, or due date.
  • Identify bottlenecks by looking at overdue or stalled tasks.
  • Reassign tasks between team members if workloads need balancing.
  • View aggregate statistics: total tasks, completed this week, overdue count.
