Internal Messaging
Internal Messaging is available on all tiers, including the Free plan. It provides a built-in communication layer so your team can collaborate without leaving Deskpadi — from one-on-one conversations to group threads and company-wide announcements.
Direct Messages
Direct messages allow private, one-on-one conversations between any two users in the organisation. Use direct messages for quick questions, updates, or discussions that do not need a wider audience.
- •Start a conversation with any active user in your organisation.
- •Messages are delivered in real time — no need to refresh.
- •Conversation history is preserved and searchable.
- •You can share text, links, and contextual information in messages.
- Open the Messaging section from the sidebar.
- Click "New Message" and select a user from the directory.
- Type your message and press Enter or click Send.
- The recipient receives an instant notification.
Group Threads
Group threads bring multiple participants into a single conversation. They are ideal for project teams, cross-department coordination, or any discussion that involves more than two people.
- •Create a group thread with two or more participants.
- •Give the thread a descriptive name (e.g., "Q2 Budget Planning", "Office Renovation").
- •All members of the group can read and send messages.
- •New participants can be added to an existing group thread at any time.
- •Participants can leave a group thread if they no longer need to follow the conversation.
Real-Time Delivery
Messages are delivered instantly using real-time communication. There is no polling delay — when someone sends a message, it appears in your conversation immediately.
- •Messages appear in the conversation without any page refresh.
- •Typing indicators show when the other person is composing a reply.
- •Delivery is reliable even on slower connections, with automatic retry if a message fails to send.
Edit & Delete Messages
Users can edit or delete their own sent messages. All edit and delete actions are logged for transparency.
- •Edit — correct typos or update information in a sent message. Edited messages show an "edited" indicator so recipients know the content was changed.
- •Delete — remove a message from the conversation. Deleted messages are replaced with a "This message was deleted" placeholder.
- •Both actions are recorded in the system audit log with the original content, the user who performed the action, and the timestamp.
- •Edits and deletions are reflected in real time for all participants in the conversation.
Unread Counts
The sidebar displays unread message counts so you never miss important communications.
- •A badge on the Messaging icon in the sidebar shows the total number of unread conversations.
- •Each conversation in the list shows its own unread count.
- •Unread counts update in real time as new messages arrive.
- •Opening a conversation automatically marks all its messages as read.
- •Unread indicators help you prioritise which conversations to check first.
Company-Wide Announcements
Announcements are broadcast messages that reach every user in the organisation. They are used for important communications such as policy updates, company events, system maintenance notices, or leadership messages.
- •Only users with the appropriate role (typically Super Admin, IT Admin, or HR Head) can create announcements.
- •Announcements appear prominently at the top of the messaging section for all users.
- •Acknowledgement tracking — require employees to confirm they have read the announcement.
- •View a list of who has acknowledged and who has not.
- •Send reminders to users who have not yet acknowledged a critical announcement.
- •Announcements remain visible until dismissed or until an expiry date is reached.
Mentions
Use the @[Name] syntax to mention a specific user in a group thread or announcement. Mentions draw the mentioned user's attention to a particular message.
- •Type @ followed by the user's name to trigger the mention picker.
- •Select the user from the autocomplete dropdown.
- •The mentioned user receives a dedicated notification highlighting the message they were mentioned in.
- •Mentions are styled distinctly in the message so they are easy to spot.
- •You can mention multiple users in a single message.
Notifications
The messaging module integrates with the platform's notification system to ensure users stay informed about new messages without needing to keep the messaging section open.
- •In-app notifications appear for new direct messages and group thread messages.
- •Mentioned users receive a distinct notification type so they can prioritise responses.
- •Announcement notifications are sent to all users in the organisation.
- •Notification preferences can be configured per user — choose which types of messaging notifications to receive.
- •Email notifications can be enabled for users who are not actively online.
